The beta

What is the beta?

We are opening QVINTA SUITE to a small group of wholesale brands before it opens to everyone. You apply, we look at how you sell, and if it is a fit we open a workspace and set it up with you.

Who is it for?

Wholesale-led gift, home, lifestyle and design brands: you sell to independent shops and maybe some big retailers, through your own team, reps, Faire or Shopify. One brand or several.

What does the beta cost?

We confirm beta terms with each brand before its workspace opens. Nothing is charged without your agreement. The pricing at launch starts at $99 a month.

How do I apply?

Fill in the beta application. It takes about two minutes. If anything goes wrong with the form, write to hello@qvinta.ai.

Can I try it before I apply?

Yes. Open the demo workspace: a sample company with three brands and every app switched on. No sign-up and no card.

Who uses QVINTA today?

Our own brands: Piecework, Areaware, Rivsalt and Blank Story. QVINTA was built inside them, and they run on it. They are part of the same group as QVINTA, not outside customers. The beta is the first time other brands get it.

Getting started

Which app should I start with?

The one for the job that takes the most time today. Most brands with stockists start with SOLD, often with SCRAP. If production is the headache, start with SOURCE. You can add apps whenever you want.

How long does setup take?

Each app has a setup guide of 8 to 11 steps, most of them 5 to 15 minutes. The basics (company, brands, connections, files) are shared, so you do them once. More brands or messy files take longer. See the steps.

Do I need to install anything?

No. QVINTA runs in the browser on a computer or a phone. The heavy work behind SCRAP runs on QVINTA's side.

Do I have to stop using Shopify, Faire or my accounting software?

No. QVINTA reads from them. You keep selling and invoicing where you do today. If you use a general CRM or spreadsheets for wholesale accounts, SOLD can replace them, but you don't have to.

How does my data get in?

Two ways. Connect a service once (your mailbox, Shopify, your 3PL, your ads) and the apps that need it read from it. Or drop in the CSV and Excel exports you already make: Faire order and retailer exports and Shopify product exports work as they are.

When will I see results?

SOLD shows accounts, reorders and follow-ups as soon as your stockists and orders are in. STOCK has a buy plan once it has your SKUs, stock and sales. SCRAP writes its first weekly list after its next Brain run. SHOP's first load of your store history can take a while.

The apps

What does each app do?

SCRAP finds shops and scores how well they fit each brand. SOLD runs accounts, orders, reorders, pitches and follow-ups. SOURCE runs factory quotes, POs, ship dates and landed cost. SPEC keeps each key account's rules, dates and issues. STOCK plans buys under your cash limit and says what to push or clear. SHOP tracks your online store against plan.

Do the apps share data?

Yes. SCRAP sends shops to SOLD, and SOLD's orders and replies teach SCRAP. STOCK reads SOLD's orders and SOURCE's costs and dates. SPEC reads key-account mail through SOLD. You type your data once.

How does SCRAP find shops?

It reads the store locators, stockist pages and trade-show exhibitor lists you add, checks each shop's website (open or closed, what it stocks, prices, contacts), keeps one record per shop and scores its fit with each of your brands. It learns from your own customers and from every "not a fit" your team marks.

Do I get your shop map?

No. Our brands' shop map stays with our brands. Your workspace builds its own map from the sources you add and learns only from your orders. Nothing from another company is in your workspace, and nothing from yours goes to anyone else.

Does SOLD send emails on its own?

No. SOLD drafts pitches and follow-ups in your voice. A person reads each one, changes what they want and sends it from their own mailbox.

Does SPEC change anything on its own?

No. SPEC turns account mail and documents into suggested rules, tasks and issues. Your team accepts or skips each one before it counts.

Can I use SPEC without SOLD?

No. SPEC works on top of SOLD's accounts and orders, so adding SPEC adds SOLD.

Can I run several brands?

Yes. Every app works per brand, and the brand picker at the top switches all of them at once. Rename a brand in Setup and it changes everywhere.

What is CA$H?

A cash forecast built from your orders, POs and costs, coming soon. It is not in any plan yet and costs nothing. QuickBooks Online and Xero will connect through it. When it opens, Studio gets it at no extra cost.

Connections and files

What can I connect?

Built in: Google (Gmail and Drive), Microsoft 365 mail, other mailboxes (IMAP), Shopify, Faire, SOS Inventory, 3PL warehouses run on Packiyo, Windsor.ai, Meta ads, Google Ads, Google Analytics 4, Gorgias, Slack and ImportYeti. QuickBooks Online and Xero are built for CA$H. Some providers still have to approve QVINTA's app; until they do, those connect through an app password, a Shopify custom app or a file. Your Connections page shows which is which.

My tool isn't on the list.

Over 200 more services are listed in Connections with a Request button, and requests decide what we build next. Anything can come in as a CSV or Excel file today.

What files can I import?

CSV or Excel (.xlsx), up to 20 MB a file: stockist and retailer lists, orders, products, suppliers, purchase orders, stock levels and plan targets.

What if my columns don't match?

QVINTA recognizes the columns, shows you what it matched and checks every row before it sends the file on. You see the result for each app, including refused rows and why.

How long do you keep the files I import?

A file you drop in Imports stays in your workspace's own storage for 180 days so you can check what came in, then it is deleted. You can change the 180 days in Setup. What was imported from it stays.

Team and roles

Who sees what?

Owner: everything, including the plan, billing and credits. Admin: runs Setup, Imports, Connections and the team, and picks which apps each employee opens, but sees nothing about money. Employee: only the apps opened for them.

What is a seat?

One named person who can sign in. Owners, admins and employees all count. Every plan includes 3 seats, Studio 5. Each extra seat is $29 a month. Outside reps can have a rep seat at $12: SOLD only, their own accounts.

Can two people share a seat?

No. Each person signs in as themselves, with Google, Microsoft or a one-time email link. A seat works on two devices, a computer and a phone.

Who can read my mailbox?

Only you. Each person connects their own mailbox and picks which apps may read it (SOLD, SPEC, SOURCE). Nobody else in the workspace can use it.

Credits

What uses credits?

Three things, from one monthly pool: looking up a shop's buyer, socials and contact page (1 credit), drafting a pitch or follow-up (1 credit), and reading a supplier email, quote or vendor manual (1 credit per 10 pages). Everything else is included. See monthly amounts.

Which apps use no credits?

STOCK and SHOP. Most of QVINTA uses no credits at all.

What if I run out?

Only the action that needs a credit waits. Everything else keeps working. Buy a pack, turn on auto top-up, or wait for the 1st.

Do I get the credit back if something fails?

Yes. If a lookup, a draft or a read fails, the credit comes back. The Credits page shows what was spent and by whom.

Data and security

Where is my data kept?

Every workspace has its own databases and its own file storage, one set per app. Your data never sits in a table next to another company's. Each app checks that a request comes from your workspace before it answers.

Can QVINTA see my data?

Not by default. If support needs to look inside your workspace, we ask with a written reason, for four hours at most, read only unless stated. The owner approves or refuses. In an emergency such as an outage, access starts at once and the owner is told straight away. Every access is logged.

Is my data used to train anything?

Your workspace has its own Brain, trained only on your data, for you. Nothing learned from your orders is shared with another company.

Do you have security certifications?

Not yet. We would rather say so than imply one. If your buyers require a certification, write to hello@qvinta.ai and we will tell you where we stand.

Can I take my data with me?

Yes. Ask us for a full export of your data. A one-click export is on the way.

Pricing and billing

How much will it cost?

At launch: Starter $99 a month for 1 app (not SCRAP), 1 brand and 300 credits. Base $249 for 2 apps, 2 brands and 1,000 credits. Growth $499 for 4 apps, 3 brands and 3,000 credits. Studio $999 for every app, 5 brands, 8,000 credits and Brain Pro on 2 brands. Every plan includes 3 seats, Studio 5. Yearly gets 2 months free. Build your price.

Monthly or yearly?

Monthly: no contract, cancel any time, and the plan stops at the end of the month you paid for. Yearly: 12 months upfront with 2 months free, not cancellable mid-year and not refunded. We email you 30 days before it renews.

Can I change plan later?

Yes. Moving up opens the new apps, brands and credits right away. Moving down starts at your next renewal.

Who handles payments?

Paddle, as merchant of record, once billing opens. Prices are in USD, before tax; tax is added at checkout where it applies.

How do I get help?

Write to hello@qvinta.ai and a person answers. If we need to look inside your workspace to help, we ask first. Already in the beta? Sign in.
